What We Are Hiring For

We are seeking a highly skilled, professional, and adaptable Executive Assistant to the President to join our team. This role will provide essential support to the President in a fast-paced and evolving environment. The ideal candidate will have a strong work ethic, the ability to connect the dots in complex situations, and the capacity to respond with urgency while maintaining high-level of professionalism.

Key Responsibilities

Administrative Support: Manage and prioritize the Executive’s calendar, emails, and correspondence to ensure seamless scheduling and clear communication. Coordination of 4 different calendars, email inboxes, and 7 different chat apps that are active around the clock.

Meeting Coordination: Prepare agendas, take minutes, and follow up on action items for executive meetings and client calls.

Personal Assistance: Provide ad hoc support on personal tasks for the Executive, including handling household administration, managing personal appointments, and coordinating personal engagements which may include but is not limited to family schedule and vacations.

Travel and Logistics: Coordinate domestic and international travel, including transportation logistics, itineraries, accommodations and general preparation for conferences or speaker engagements.

Project Assistance: Provide support on special projects, liaising with internal teams and external partners as necessary.

Communication: Serve as the primary point of contact between the Executive and various stakeholders, ensuring effective and timely responses.

Event Planning: Organize company events, offsites, and team gatherings with attention to detail and professionalism.

Document Management: Handle confidential documents, prepare reports, and assist with presentation materials.

Highly available and flexible: We operate in a global remote first industry; requests are live from GMT+8 to PST so working across various time zones is to be expected.

Qualifications:

Experience: 5+ years of experience as an Executive Assistant or in a similar role, preferably within a fast-paced or startup environment.

Languages: Fluency in English; German proficiency is highly desirable. Mandarin Chinese nice to have.

Skills: Exceptional organizational skills with attention to detail, time management, and the ability to handle multiple priorities.

Professionalism: Strong interpersonal skills with a warm and professional demeanor; ability to manage confidential information with discretion.

Tech-Forward: Mastery of productivity tools such as Notion, Airtable, Zapier, spreadsheets Google. Uses a Mac.

Location: Europe-based and open to occasional travel to support the Executive as needed.
